Understanding the Patient Loyalty Program

  • Updated

The Patient Loyalty Program allows clinics to reward patients with points when they make purchases. These points can later be redeemed for a discount on future services or products.

Think of it like a digital rewards card. Patients earn points when they spend money at the clinic, and those points can later be applied toward a future invoice.

The clinic controls how many points patients earn and how much those points are worth when redeemed.

This article explains how the loyalty program works conceptually so that you can configure it in a way that best fits your clinic.

How the Loyalty Program Works

The loyalty program has two main parts:

  1. How patients earn points
  2. What those points are worth when redeemed

These settings work together to determine the overall reward value for patients.

How Patients Earn Points

Points are earned when a patient pays for a service or product that participates in the loyalty program.

The clinic defines the earning rate, which determines how many points a patient receives based on how much they spend.

Example:

  • $1 spent = 1 point

If a patient pays for a $120 invoice, they would earn:

  • 120 loyalty points

Some clinics choose to offer more generous earning rates.

Example:

  • $1 spent = 2 points

In this case, a $120 purchase would earn:

  • 240 loyalty points

This setting controls how quickly patients accumulate points.

What Loyalty Points Are Worth

The redemption value determines how many points are required to receive a discount.

Example:

  • 100 points = $5

When a patient redeems 100 points, the system applies a $5 discount to their invoice.

If a patient redeems 200 points:

  • They receive $10 off the invoice

This setting determines how much value patients receive from their points.

How the Two Settings Work Together

The earning rate and redemption value combine to determine the overall reward value of your program.

Example configuration:

  • $1 spent = 1 point
  • 100 points = $5

In this example:

Patient SpendPoints EarnedReward Value
$100100 points$5
$200200 points$10

This means the patient effectively receives 5% back in rewards.

Example of a More Generous Program

If a clinic configures the program like this:

  • $1 spent = 2 points
  • 100 points = $5

The rewards increase.

Patient SpendPoints EarnedReward Value
$100200 points$10

This results in a 10% reward value.

Redeeming Loyalty Points

When a patient has accumulated points, they can redeem them during checkout.

When processing an invoice, staff can select Loyalty Points as a payment method and choose how many points to apply. The system automatically converts the points into the corresponding dollar value and applies it as a discount on the invoice.

The redeemed points are then deducted from the patient’s loyalty balance.

Viewing Loyalty Points in the Patient Profile

A patient’s loyalty points can be viewed in their profile.
The loyalty program tab displays:

  • Points earned
  • Points redeemed
  • The patient’s current point balance

This allows staff to easily track a patient’s reward history.

Summary

The loyalty program works by rewarding patients with points when they spend money at the clinic.

Clinics configure two key settings:

  • Earning Rate = How quickly patients earn points
  • Redemption Value = How much those points are worth when redeemed

Together, these settings determine the overall reward value offered to patients.
