Part 2: How to Set Up HCAI Practitioners and Dashboard

Learn how to configure practitioners for HCAI by adding their Registry IDs and enable access to the HCAI Dashboard.

 

Overview 

This guide walks you through the second part of HCAI setup, including how to assign Registry IDs to practitioners and enable the HCAI Dashboard. Completing these steps ensures practitioners can be selected for HCAI claims and have visibility into claim activity through the dashboard.

 

Permissions 

  • Access to Settings and Practitioner Profiles 
  • Permission to manage HCAI settings 

     

Setting Up Practitioners for HCAI

Find the Practitioner Registry ID  

  1. Go to Accounting 
  2. Under Health Claims for Auto Insurance, select Get Facility Info
  1. If you have multiple clinics, select the appropriate clinic 
  2. Click Get Info 

     

     

  3. Navigate to the Providers section
  4. Locate each practitioner and copy their Registry ID 
Tip: Take a screenshot or save the list so you can reference it while updating practitioner profiles. Better, open the practitioner profiles in a separate window so you can copy and paste the Registry IDs into the profile!

 

 

Adding Registry IDs to Practitioner Profiles 

  1. Go to Settings 
  2. Under Staff, select Practitioners 

     

     

  3. Open the practitioner's profile 
  4. Click the HCAI tab
  5. Enter in the practitioner's Registry ID
  6. Click Save 
     

 

Note: If a practitioner works at multiple clinics, they will have a unique Registry ID for each location. Ensure ID is entered in the correct clinic-specific field. 
  1. Repeat these steps for each practitioner submitting HCAI claims 

 

Enabling the HCAI Dashboard

  1. Go to Settings 
  2. Under Staff, select Practitioners (or Administrators) 
     

     

  3. Open the staff member's profile 
  4. Click the Preferences tab
  5. Navigate to HCAI Notifications 
  6. Set Dashboard Tab to Yes 
  7. Click Save

 

The staff member will now have access to the HCAI Dashboard tab on the home schedule

 

 

Result 

  • Practitioners are configured with their HCAI Registry IDs
  • Practitioners can be selected when creating HCAI claims
  • The HCAI Dashboard is visible to enabled users for tracking and notifications
  • You are ready to begin creating and submitting HCAI treatment plans

 

When to Use This

  • After completing HCAI clinic setup (Part 1)
  • When adding new practitioners who will submit HCAI claims
  • When enabling dashboard access for staff managing HCAI workflows

 

Avoid Common Issues

  • Not adding a Registry ID to each practitioner
  • Entering an incorrect or incomplete Registry ID
  • Forgetting that practitioners working at multiple clinics require a unique Registry ID per clinic
  • Not enabling the HCAI Dashboard for staff who need access
  • Skipping practitioners during setup, which prevents them from being selected in claims

 

Troubleshooting

Practitioner not available for HCAI claims

  • Confirm the Registry ID has been entered in the practitioner’s HCAI tab
  • Ensure the correct Registry ID is used for the selected clinic

Registry ID not found

  • Re-fetch the information using Get Facility Info
  • Confirm the correct clinic is selected before retrieving provider details

HCAI Dashboard not visible

  • Verify the Dashboard Tab setting is enabled under Practitioner Preferences
  • Ensure the correct staff profile was updated
  • Have the user log out and back in if the tab does not appear
