How to Add a Warning to a Patient Profile

You can use Warnings / Alerts to notify staff about important information they should know when working with a patient. A popup can appear when staff book an appointment, check out an appointment, or create a new chart.

 

When to Use This

Use Warnings / Alerts when you want to highlight important information about a patient

Common examples:

  • A practitioner does not want the patient to book with them
  • The patient needs to pay their outstanding balance before booking
  • The patient must always be booked in a specific room

 

What You Need 

  • Warnings / Alerts must be enabled in the Patient Profile 

 

Adding a Warning in a Patient Profile

  1. Open the patient's Patient Profile
  2. Go to the General tab
  3. Under Documentation, find Warnings / Alerts 

 

 

  1. Type the relevant information
  2. Click Save & Exit

 

💡Tip: Click Timestamp to automatically insert the date and time the Warning was created 

 

Result 

Once saved:

  • The warning has been saved in the patient's Patient Profile
  • A popup appears when booking an appointment for the patient 

     

 

  • A Warning icon appears on the patient's appointments. Click the icon to quickly view the warning.

 

 

 

Things to Know 

You can choose when Warnings / Alerts appear. They can be displayed during:

  • Appointment Booking: The warning appears when an appointment is being booked
  • Appointment Checkout: The warning appears when an appointment is being checked out
  • Chart Creation: The warning appears when a new chart is being created

 

Troubleshooting 

I don't see Warnings / Alerts in the Patient Profile 

Make sure that Warnings / Alerts this is set to Show in the General System Settings: 

  1. Go to Settings
  2. Under System & Company Settings, select General
  3. Click Patients 
  4. Go to the Patient Profile section 
  5. Find Warnings / Alerts and set to Show 
  6. Click Save 

 

I don't want warnings to pop-up while I'm charting

You can choose when Warnings / Alerts appear:

  1. Go to Settings
  2. Under System & Company Settings, select General
  3. Click Scheduling
  4. Go to the Patient Warnings section 
  5. Select when you want warnings to appear
    • Display During Appointment Booking: Warning will pop up when an appointment is being booked
    • Display During Appointment Checkout: Warning will pop up when an appointment is being checked out
    • Display During Encounter Creation: Warning will pop up when a chart is being created 
  6. Click Save

 

I don't see the Warning icon on an appointment 

  • Check that the patient has a Warning in their Patient Profile 
  • Make sure that the Warnings icon is enabled: 
    1. Go to Settings
    2. Under System & Company Settings, select General
    3. Click Scheduling
    4. Go to the Appointment Display section 
    5. Find Warning Icon and set to Yes 
    6. Click Save
