How to Create a Custom Letterhead

Creating a custom letterhead allows you to personalize the letters generated from your system with your clinic's branding and contact information. You can add details such as your clinic name, address, phone number, email, logo, and footer text so every letter has a professional, consistent appearance. Once your letterhead is saved, it can be selected whenever you generate a letter.

 

When to Use This

Use this article when you want to:

  • Create a new letterhead for your clinic
  • Add your clinic's branding to generated letters
  • Include contact information, a logo, or footer text on letters
  • Create multiple letterheads for different clinic locations or departments

 

Permissions

To complete these steps, you need:

  • Access to Settings
  • Permission to manage Forms & Letters

 

Creating a Custom Letterhead 

  1. Go to Settings 

  2. Under Forms & Letters, select Letters 

 

 

  1. Click Letterheads 

 

 

  1. Select +New Letterhead

 

 

  1. Enter the details for your letterhead:
    • Name: Enter a descriptive name for the letterhead to help you identify it later
    • Header: Enter the text you want to appear at the top of every letter, such as your clinic name or mailing address
    • Footer: Enter any text you would like to appear at the bottom of each letter, such as a disclaimer, website, or additional contact information
  2. If needed, use the Form Fields section to insert dynamic fields into your letterhead, including:
    • Company Logo
    • Date
    • Page Details
  3. Review your letterhead to ensure all information is correct
  4. Click Save

 

 

Result

Your custom letterhead is saved and appears in the Letterheads list. It can be selected whenever you generate a letter, allowing you to apply consistent branding and contact information to your correspondence.

 

Avoid Common Issues

  • Give your letterhead a descriptive name if you have multiple clinics or locations
  • Double check your contact information before saving to ensure letters display the correct details
  • If you use a company logo, verify it has already been uploaded to your clinic settings before inserting it
  • Review the formatting of your header and footer to ensure they appear as expected when printed or exported

 

Troubleshooting

Why can't I create or edit a letterhead?

  • Ensure you have permission to access Settings and manage Forms & Letters

My company logo isn't appearing on the letterhead

  • Confirm that your clinic logo has been uploaded to the system
  • Verify that the Company Logo form field has been inserted into the letterhead

I can't find my letterhead when creating a letter

  • Make sure the letterhead was saved successfully
  • Return to Settings > Forms & Letters > Letters > Letterheads and confirm it appears in the list
