How to Add Alternating Weeks to Practitioner Standard Availability

In some clinics, a practitioner’s schedule may vary from week to week rather than following the same pattern every week. In these cases, you can create alternating weeks within the Standard Availability so the practitioner’s schedule reflects the correct pattern across multiple weeks.

This article explains how to set up alternating weeks within Standard Availability by editing an existing availability record.

When to Use This

Use alternating availability when a practitioner’s schedule changes on a repeating weekly pattern.

Common examples include:

  • Practitioners who work every other Saturday
  • Alternating evening shifts
  • Two-week rotating schedules
  • Practitioners who work different clinic days every second week

 

Adding an Alternate Week 

  1. Go to Settings 
  2. Under Staff,  select Practitioners
  3. Open the practitioner's profile 
  4. Click the Availability tab 
  5. Edit the Standard Availability 
  6. Click +Add Alternate Week 
  7. Select the applicable Schedule Type 
  8. On the grid, select the time blocks when the practitioner is available for Week 2 
  9. Click Save 

 

 

NOTE: Repeat this process if additional alternating weeks are required.

 

Result

The practitioner’s schedule will now rotate between the configured weeks. After the final week in the sequence, the schedule repeats from Week 1.

 

Example

Week Availability Example
Week 1 Monday - Friday 
Week 2 Monday - Thursday + Saturday
Week 3 Pattern repeats (i.e., goes back to Week 1 Availability)

 

Avoid Common Issues

Only add alternating weeks when the schedule actually changes.

  • If the practitioner works the same schedule every week, you do not need to add alternate weeks.

Select only bookable time blocks.

  • Each block represents a bookable appointment start time. Selecting a block means appointments can be booked at that time.

 

Troubleshooting

Bookable spots are appearing as available on the wrong week

  • Review the availability grid for each week to ensure the correct time blocks were selected.
  • Review the Start Date 

Schedule is not repeating correctly

  • Confirm that all required weeks have been created. After the last configured week, the system automatically repeats the schedule from Week 1.
