How to Record a Patient Credit (Prepayment or Deposit)

Learn how to create a credit in the system when a patient pays in advance for services, such as a deposit or prepayment. This option appears under Credits because the payment is held on the patient’s account until it is applied to an appointment or invoice.

Use this when:

  • The patient gives you money before their appointment
  • You are collecting a deposit or prepayment

Common examples:

  • Booking deposits 
  • Prepaying for a future visit

Good to know:

  • This is real money received
  • A payment type is required
  • Appears in payment reports and Day End

Step 1: Navigate to Enter Payments 

  1. Click the Accounting icon 

   2. Under Billing, click Enter Payments 

Step 2: Enter the Details 

Payer Details 

  1. Enter the Date 
  2. Payer Type: Patient 
  3. Enter the Patient Name or Chart # 

Payment Details 

  1. Payment Type: Enter how the patient is paying 
  2. Enter the Amount the patient has paid 
  3. Memo: Include any notes you want (e.g., what is this for?)  

Click Review 

Step 3: Review and Post 

  1. Make sure your details are correct 
  2. Select Post Payments 

   3. A PDF that says Payment Batch will open. Print this for your records: 

 

Step 4: View and Print a Record of Credit

To view or print a record of the credit on the client’s account: 

  1. Hover over the Accounting icon and select Credits  

   2. Search for the Credit using the # or the patient’s name 

   3. Click the icon never to the credit # and select View Credit 

   4. A PDF will be generated that you can provide to your patient as a record of the credit:
