How to Select Chart Templates for Staff

You can tailor which chart templates are available to each practitioner or administrator. You can designate templates as Default or Enabled based on how often they are used, helping keep charting organized while improving workflow and loading speed.

 

When to Use This

Use this article when: 

  • Setting up a new practitioner or administrator
  • A staff member needs access to additional chart templates
  • Standardizing charting workflows across a clinic
  • Updating template access after organizational changes
  • Adjusting which templates automatically load when creating a new chart

 

What You Need

  • Chart templates already created in the system, if using with custom charts 
  • Staff user profiles already set up

 

Selecting Chart Templates for Staff

  1. Go to Settings 
  2. Under Staff, select the appropriate staff type: 
    • Practitioners  
    • Administrators 
  3. Open the relevant user's profile
  4. Click the Charts tab 
  5. Review and select the available chart templates. The Charts section includes two columns:
    • Default: These chart templates load automatically whenever a new chart is created.
    • Enabled: These chart templates are available to select from the drop-down menu when creating a new chart, but they do not load automatically.
  6. Click Save & Exit

 

 

Default vs. Enabled Templates

Default 

  • Loads automatically when a new chart is created
  • Best for templates the provider uses most often
  • Fewer Default templates = faster chart loading

Enabled

  • Available from the template drop-down when creating a chart
  • Does not load automatically
  • Best for templates the provider uses occasionally but still needs access to

     

💡Tip: Keep frequently used templates as Default and less frequently used templates as Enabled. This keeps charting faster and easier.

 

Adding an Enabled Template from a New Chart

To use a chart template that has been Enabled

  1. Open a new chart
  2. In Observations, click the "+" icon  
  3. Select the chart template from your available templates 

     

 

Removing a Template from a New Chart 

To remove a template from the current chart when it isn't needed for that specific visit:

  1. Open the chart 
  2. Click the "x" icon beside a template

     

 

  1. You'll be asked if you want to remove the template 
  2. Verify this is the template you'd like to remove 
  3. Click OK 

     

 

Result 

  • The staff member will have access to the selected templates based on their Default and Enabled settings.
  • Default templates load automatically with a new chart.
  • Enabled templates are available to add from the drop-down menu when needed.
  • Templates that are not relevant to a specific chart can be removed using the X.

 

Things to Know 

  • Setting up fewer Default charts will improve how fast new charts load 
  • Make sure you're not removing a template that has saved information as it will be permanently deleted
