Staff Groups help you organize Administrators, Practitioners, and Employees across your clinic(s), making it easier to manage access, communication, and scheduling.
Staff Groups are used to:
- Send internal messages to specific groups
- Filter reports by staff type
- Control which schedules users can view
By creating clear Staff Groups, you can ensure the right people have access to the right information.
Multi-Discipline Clinics
For multi-discipline clinics, Staff Groups provide a simple and effective way to organize staff by role or modality and manage schedule visibility.
Common examples of Staff Groups include:
- Administrators
- Athletic Therapists
- Chiropractors
- Management
- Massage Therapists
- Nurse Practitioners
- Physiotherapists
- Psychologists
Single Discipline Clinics
If your clinic operates within a single discipline, it's recommended to create:
- One Staff Group for Practitioners
- One Staff Group for Administration/Front Desk Staff
This structure keeps scheduling and access organized without adding unnecessary complexity.
How to Create a Staff Group
Step 1
- Go to Settings
- Under Staff , select Staff Groups

Select + New Group
Step 3
Complete the following fields and then click Save to finish setting up a new Staff Group:
| Name | Enter the name of the Group (e.g., Massage Therapist or Chiropractor) |
| Description | Optional description of the Staff Group |
| Available Dashboard |

| Allow Dashboard Override | Allows employees to change their Dashboard view |
| Offsite Restriction | Limits system access outside the clinic, if required |
| Site IP Addresses | Best used for hard-wired IP addresses Select Add Current IP to populate the field automatically Users within this group will only be able to log in from the listed IP address |
How to Add Staff Groups to a Profile
- Go to Settings
- Under Staff, select Administrators or Practitioners, depending on the employee you're updating
- Open the Profile you would like to add a Staff Group to
- In the Profile tab, find Group
- Select the Group from the dropdown menu
- To add more than one Staff Group, click Add a group
