What's the Difference Between Administrator, Practitioner and Employee Profiles?

Overview

In Juvonno, user profiles in conjunction with User Types control what each staff member can see and do in the system. Choosing the right profile type is important for both access and functionality.

There are three main profile types:

  • Administrator
  • Practitioner
  • Employee

Each serves a different purpose depending on the staff member’s role in your clinic.

 

How It Works

Each user is assigned a profile type that determines:

  • Their permissions
  • The features they can access
  • Whether they can perform clinical, administrative, or limited tasks

Some staff may require more than one profile depending on their responsibilities.

 

Key Behaviours 

Administrator Profiles

Best for front desk staff, managers, and accountants.


Administrators can: 

  • Create and edit Administrator and Practitioner profiles
  • Create products  and services 
  • Add and edit Employee profiles
  • Perform provincial billing (e.g., HCAI, MB Health)

 

Administrator Levels 

Level 2 Administrators 

Have advanced system access and control.

They can:

  • Add and edit User Types
  • Update the Username and Password of other Level 2 Administrators
  • Reinstate the deleted profile of another Level 2 Administrator
  • Create other Level 2 Administrator profiles 
  • View and edit administrator levels the Login tab  
  • Reactive deleted clinics
  • View the active licenses and log out staff members 
To logout a user: Go to Settings > under System & Company Settings, General > Security > Active Users, select the staff member, enter your password, and click Logout.

 

Typically assigned to clinic owners or senior administrative staff.

 

Level 1 Administrators 

Have standard administrative access without advanced system controls.

They can: 

  • Perform general administrative tasks

 

Practitioner Profiles

Used for providers such as physiotherapists, chiropractors, and massage therapists. 
 

Practitioners:

  • Can have a schedule and be booked for appointments
  • Have access to the Practitioner Dashboard
  • Can use charting features like Copy Last Chart (administrator profiles cannot use this) 
  • Can use telehealth 

Limitations:

  • Cannot change User Types
  • Cannot edit Administrator profiles
  • These restrictions apply even if Full Access is granted

 

Employee Profiles 

Offer very limited system access.

  • Restricted from most features and settings
  • Typically not recommended for regular use

In most cases, Administrator or Practitioner profiles are a better fit.

 

What Happens Next

Once a profile is assigned:

  • The user’s access is immediately defined by that profile type
  • Permissions can be adjusted by updating the profile or User Type (where applicable)
  • Additional profiles can be created if a user has multiple roles

 

Avoid Common Problems 

Clinic owners only having one profile

If you are both an owner and a practitioner, you should have:

  • An Administrator Profile for system settings and management
  • A Practitioner Profile for scheduling, charting, and telehealth

Trying to do everything from one profile usually leads to missing features and mild frustration.
