How to Add, Edit and Delete an Away

Block time on a practitioner’s schedule - schedule an Away - to prevent appointments from being booked when they are unavailable. Use the Away feature for temporary schedule changes like breaks, meetings, and vacations. 

 

When to Use This

Use this article when you want to block time off on a practitioner's schedule for:

  • Breaks 
  • Meetings 
  • Vacation 
  • Sick days
  • Training 

For permanent schedule changes, update the practitioner's Availability instead. 

 

Permission 

  • Access to Manage Scheduling Aways (User Type setting) 

 

How to Add an Away 

  1. Navigate to the Schedule 
  2. Click the icon beside the practitioner's name 
  3. Select New Away 
  4. Choose the Type from the dropdown list 
  5. Select the Time
  6. Enter the date(s)
  7. Add Notes for internal visibility (optional) 
  8. Click Save 

 

 

The blocked time will now appear on the schedule and prevent appointments from being booked during that period.

 

Tip: To customize the label shown on the schedule, select Other as the Away type. The text you enter in the Reason field will appear directly on the calendar for staff to see.

 

Result 

The practitioner’s schedule will be unavailable for bookings during the selected time period.

 

How to Edit an Away 

To edit an Away

  1. Open the Schedule 
  2. Click the Away on the calendar 

 

 

  1. The Scheduling / Away window will open 
  2. Make your changes 
  3. Click Save  

 

 

How to Edit an Away 

  1. Open the Schedule 
  2. Click the Away on the calendar 

 

 

  1. The Scheduling / Away window will open
  2. Click Remove 

 

 

  1. Remove an Away will pop-up
  2. Select the removal option from the available choices 
  3. Click Remove Away 

     

 

How to Create a Recurring Away (Break or Blocked Time)

If the practitioner is regularly unavailable (for example every Friday afternoon): 

  1. Open the New Away window
  2. Set Recurring to Yes 
  3. Choose the Frequency (daily, weekly, monthly, etc.) 
  4. Enter the Start and End dates 
  5. Click Save 

Your schedule will automatically block this time moving forward. 

 

Troubleshooting

Not seeing this option? 

  • Your user role may not have permission to create Aways. Contact your system administrator to update your User Type settings.
