This article covers some settings that are included in the Scheduling and System sections found in General System Settings. You'll learn In this article, you'll get a detailed description of each setting and how it will affect your system.
The items found in the Scheduling section allow you to customize scheduling.
The items founds in the System section allow you to adjust a selection of login and system email settings.

Appointment Display
These settings allow you to change the way appointments appear on your schedule.

Appointment Colour Type |
There are 4 different options when it comes to colour-coding your appointments:

Appointment Status Borders |
Appointment Status Borders provide a quick visual to see what stage an appointment is at via colour-coded border. |
| Arrived Border Colour | Select a colour for the Arrived appointments |

Select a colour for Completed appointments |
| Billed Border Colour | Select a colour for Billed appointments |
| Confirmed Border Colour | Select a colour for Confirmed appointments |
Paid Border Colour |

Display Products/Services and Reason |
This setting allows you to customize the information displayed on appointments while on the home schedule view

| Patient Group Code | If the patient has been assigned to a Patient Group, setting this to Yes will display the patient group code after their name on the appointment block on the schedule. |
| Upcoming Appointment Icon |
Set to Yes to display a clock icon on the appointment block that indicates the patient has a future appointment When present:

Waiting List Expiration Date |
If using the Waiting List, select a period of time that patients will be on the list before they are automatically removed
|
| Warning Icon |
Set to Yes to display an icon (!) on an appointment block to let staff know when a patient has a Warning on their profile |
| AR Icon |
Select an option to display an icon ($) on an appointment to let staff know when there are outstanding invoices

Chart Icon |
Set to Yes if you would like to see the chart status of an appointment

Detailed Cancellation Reasons |
Choose between a detailed or basic list of selectable reasons for staff to choose from when an appointment is being cancelled. Select Enabled for the following list:
Select Disabled if you prefer this list:

Display Alternate Patient Name |
Set to Enabled if you would like the Alternate Name that'd entered in the patient's profile to be displayed in brackets on the appointment block |
Dashboards
These settings allow you to customize the appearance and information that displays inside your dashboards

| Display Schedule & Meetings |
When set to Yes, if a practitioner creates a Schedule/Meeting, the meeting will show as a grey appointment block for the selected duration, but will not show details:

| Highlight & Display Cancelled Appointments |
Choose if you would like appointments that have been cancelled to remain visible on the schedule:
If you don't want an appointment to appear when Cancelled Appointments is selected, the appointment needs to be deleted
|
| Show Schedule Types on Dashboard |
Set this to Yes if your would like the Code from the Schedule Type to appear on the schedule
Tip: This is helpful for communicating to staff where a provider is working (e.g., online or clinic), what type of service they want to provide during that time slot (e.g., acu). This is a communication tool only and does not prevent other bookings from occurring.

| Show Unavailable Practitioners |
Choose Yes to display practitioners on the schedule even if they are not available on the selected day
|
| Show 'New Patient' in Appointment Info |
Select Yes to display the text "New Patient" on the appointment block when a patient is scheduled for their first appointment with your organization This will only appear once. If the patient cancels their appointment, New Patient will not show on the next appointment even though they did not complete an appointment. The text will also not show for each practitioner the patient sees as a new patient even when the patient is new to the practitioner or a different clinic.

Arrivals Tab |
Select Visible to show a tab that allows you to view appointments that have been Arrived on the home schedule:
Here, you'll see each patient who currently has an Arrived status. The patient's name, practitioner, clinic, appointment time, and arrival time are all shown and you can filter by clinic if your organization has more than one. You'll also be able to change the appointment status to Complete or remove them from Arrived.

Select when the the system will refresh the Arrived tab:

| Appointment Search Default Date Range | Select how you want the system to search for appointments, Today and Prior, Today and Future, This Month. |
| Appointment Search Default Status | Select what default you would like set. |
| Appointment Search Default Results | Select how many results you would like within a search. |
| Appointment Search Default Date Sort | Select if you would like Earliest or Latest appointments as the default. |
| Appointment Search Products/Services | Select if you want to sort by Product/Services. |
Scheduling
Scheduling allows you to set you clinics defaults when it comes to all aspects of scheduling appointments.

| Global Start Time |
These are system-wide settings. If you have more than 1 clinic all clinics will be based on this start and end time. You can further define the start and end times for each Practitioner.

| Custom Appointment Durations | Select whether to allow appointment durations to be customized when appointments are being booked. |
| Maximum Appointment Duration | Select from the drop-down menu the preferred maximum allowed duration. |
| Default Patient Reminder |
This is a system-wide setting. This is the default appointment reminder all-new Patient profiles will be set to. You are able to override this setting in the Patient Profile and when booking an appointment on the schedule. |
| Quick Reschedule | Select whether to enable the 'Quick Reschedule' function that appears when cancelling an appointment. |
Multiple Practitioners per Appointment |
This enables you to schedule more than 1 practitioner on an appointment block. |
| Practitioner Selection | Select if you want to Type-to-Search or Select from List. |
| Duration Based on Selected Services | Toggle the option to set the appointment duration based on the product or service's set duration. This is adjusted in Products & Services settings. |
| Require at Least 1 Service to Schedule an Appointment | Select whether or not items are required to be added to an appointment in order to be booked. This will disable the ability to book empty appointments. |
| Require "Force Save" When Booking Unavailable Slots | Select if you would like the option to override appointments that are booked in the past, or at an unavailable time. |
| Show Patient Relations During Booking | Toggle the option to display any added patient relations within the appointment booking window. These are entered in the patient profile. |
Copy Products/Services with Schedule Next Appointment |
When scheduling a next appointment from the appointment block, set the product/service to copy with the next appointment. |
| Scheduling Screen Field Visibility | Toggle these fields on/off to display within the appointment booking window. |
| Select Clinic based on the Patient's default | Select whether or not to have the clinic chosen by default in the booking window. This is based on the patient's default clinic set in their patient profile. |
Require a Force Save if the Clinic does not match a Patient's default |
A popup will appear if the you are scheduling a patient in any other clinic than the default clinic set on their profile. |
Display Warning When Booking Non-Default practitioner |
A popup will appear if the you are scheduling a patient with a practitioner that is any other practitioner than the default practitioner set on their profile. |
Default Visit Type |
Shows a field on the appointment booking window to select the visit type. |
Show Visit Type Options |
Shows visit type options in the appointment booking window. |
Patient Warnings
When booking an appointment on the schedule you will be prompted with a warning that has been set up in the Patient Profile Warnings section. Customize these warnings inside the Patient Warnings section.

| Display During Appointment Booking | Toggle the option to display a warning during the booking process. A pop-up will appear if there is a warning or outstanding invoices to be paid. |
| Display During Appointment Checkout | Toggle the option to display a warning during the checkout process. A pop-up will appear if there is a warning or outstanding invoices to be paid. |
Invoice Warnings |
Select from the drop-down menu whether outstanding invoices will trigger a warning for all types of invoices (Insurance & Direct) or Direct invoices only. |
Display During Encounter Creation |
Toggle the option to display a warning during any patient encounter. A pop-up will appear if there is a warning or outstanding invoices to be paid. |
Display Receivable During Encounter Creation |
Toggle the option to display receivables during any patient encounter. A pop-up will appear if there is a warning or outstanding invoices to be paid. |
Follow-Up Call
We recommend leaving Default Selection set to No Follow-up. Instead, assign a follow-up to a patient when needed. Learn more about creating your own Follow-up Categories
Scheduling Treatment Plans
If you're using Treatment Plans, this setting gives you the option to decide whether a treatment plan is required for booking an appointment and if the user should be notified if they select a service that is not part of the patient's Treatment Plan.
Programs
The Programs module controls whether you'd like to Allow Public Signup for patients without a profile and if you would like to Show Sold Out for programs with no availability.
Resources
If the Resources Module is enabled, this section allows you to control whether or not Resources will be assigned to a practitioners and if you'd like to allow for Multiple Resources Per Appointment.
Appointment Menu Links
Adjust these settings to customize the menu that appears when clicking on an appointment within the schedule.

| Completion | Select to either have this function as Complete Appointment, which will only set the appointment to 'Completed' status or Complete & Invoice which will also start the checkout process. |

This link enables the option to refrain an appointment from the billing process. |

This link will open the Patient Profile based on the Appointment's patient. |
Print Labels |
This link will open the labelling window with templates to choose from. |

Previous Charts |
Will enable the link on the appointment block to view Previous charts. |
Surgery Tracker |
System
System settings allow you adjust a selection of login and system email settings, and your Google Analytics Verification snippet. Locate these settings by going to Settings>System & Company Settings Section> General>System.
Other
Other is where you will find settings that allow you to setup your default landing page, set your systems Session Timeout and more.

Default Force |
Toggle whether or not staff will be presented by an internal message sent to them while offline upon login. |
Session Timeout (mins) |
Select the amount of time that will pass while a staff profile is idling without any activity that will log the staff off. If a staff member logs in without first logging out off another workstation, the system will log them out of the first workstation automatically. |
Swipe Card Login |
Toggle whether staff can or cannot log in to their profile using a Swipe card. |
System Email
Under System Email is where you can set your clinics Returned Email Address and enable Read Receipts.

| Returned Email Address | When an outgoing email fails to be delivered, in many cases the email is returned to the sender. Set this to one of your administrators email addresses. |
| - For Invoice Emails | Enable/Disable whether you'd like to receive Read Receipts for Invoice emails. |

Enter the email address that you wish to have the read-receipts sent to. You are only able to add 1 email address here. |
Google Analytics Verification
If your clinic utilizes Google Analytics, this is the field where you would paste your verification <Meta> Snippet.
