Follow these steps before launching your patient portal:
1) Clinic Activation and Portal Settings

Note: In order to proceed, the portal must first be enabled. If it is not, please contact your Juvonno Account Manager or Customer Service Representative. |
Clinic Portal Activation
Navigate toSettings
Under the System & Company Settings heading, select Clinics.
Open a clinic and set Book in Portal to Yes.
Practitioner Portal Activation
Navigate toSettings
Under the Staff heading, select Practitioners.
Select Open next to the Practitioner.
Set Can Be Booked in Patient Portal to Yes.

Under the System & Company Settings heading, select General.
Select Portal.

Apply Default Insurance |
Enable this to have patient-booked appointments apply to their default insurance set in their profile. As insurance records can only be added by the clinic, this function will not apply to 'public' patients. |
Hours Prior to Book |
This sets the number of hours prior to an available appointment that a patient can book an appointment through the portal. |
Hours Prior to Cancel |
This sets the number of hours prior to a booked appointment that a patient can cancel through the portal. |
Scheduling Consent
Learn more about the individual fields
Enabled |
This must be set to 'Yes' in order to enable the patient's consent function. |
Scheduling Consent Required |
Determine whether scheduling consent is required to book an appointment. |
Required Every Time |
Determine if every time a patient books an appointment they must confirm their scheduling consent. |
Consent Text |
Enter the text that will appear before an appointment is booked on the patient portal. |
Consent Document |
Upload a document (PDF, Word) that may contain further details regarding consent that the patient will have access to view. |

Medical Profile |
Patients can complete the pre-built Medical Profile Health History form within Juvonno before arriving at your clinic, or give patients the ability to complete the form on a tablet when they arrive at the clinic. You are also able to create your own custom Intake Forms to show in the portal. |
Programs |
You can create programs for several patients to attend such as offering an exercise class or a yoga class. These programs can be displayed online for patients to register. |
Transactions |
Select whether or not a patient's transactions are visible to the patient on their portal account. |

2) Portal Schedule Type Setup
Schedule Types are linked to Practitioners then to Products & Services to show the item in the Portal.
Be sure to set up your schedule types to ensure that the correct products, services, and practitioners are displayed per location.

- Schedule Types per Discipline (Physiotherapist, Massage, Chiropractor)
Ensure you have the correct Schedule Type assigned to Practitioners and to Products and Services

3) Portal Product and Services Setup
Products are linked to Schedule Types that will allow them to be displayed per location and per practitioner(s) that are attached to the schedule type.
Use the 'Apply to Schedule Types' filter to allow patients to book select services from a practitioner in the portal.

You must select the Product & Service items you want to show in the portal.
1. First, Open each of the Product & Service Items that you would like to be displayed in the patient portal. Remember, these are services that you would like patients to book online, information displayed on the service may be displayed through the patient portal.
2. Set the “Book from the Portal” option to Yes.
3. Apply to Schedule Types: Attach the schedule type that has been assigned to the Practitioner who will be booking the item in the Portal.
4) Providing Patient Portal Access
Overview
Location
Open a Patient Profile to locate their Portal Access tab.
Options
Available Practitioners
There is a list of Practitioners under the Available Practitioner section.
You are able to restrict patients to see specific Practitioners by selecting the practitioner name/s.
Existing Patient
If the client is an existing Patient you are able to send a portal Invitation to the email address you have entered on their General page.
The invitation is active for 3 days, they are able to click a link in the invitation and create their own Username and Password to access the portal.
Create an Account Manually
You can also create a Username and Password for test profiles and for clients who would like you to do this for them.
Select “Click here to Create an account manually”.
You can use an email address as the Username in the event you want to be able to obtain a forgotten password, enter a Password.
Then Save.
5) Booking Appointments as the Patient

- Select Location, Service & Practitioner
- Select a Date & Time
- Review the Appointment Details
- Portal Homepage & Upcoming Appointments
1. Login
To start the process, the patient will go to your clinic's unique Patient Portal URL to log in or create their account. To learn more about the login page click here.
2. Book an Appointment
Once inside the portal, the patient will click Book an Appointment on the homepage or the navigation bar.
3. Select Location, Service & Practitioner
The patient will select the Location, Service, and Practitioner of their appointment from the dropdown menus.
4. Select a Date & Time
Next, the patient will select a Date & Time. The new calendar makes it possible to select a date weeks into the future with one click and filters to only the available appointment times.
5. Review the Appointment Details
The patient will review the details of the appointment booking including the clinic location, the practitioner, service, price, date, and time and then confirm the appointment.
At this step, your clinic can enable a setting that displays a consent form for patients to sign digitally. Patients can also leave your clinic a message that will be sent directly to your Juvonno system.
6. Portal Homepage & Upcoming Appointments
Once the appointment has been booked, the patient will be redirected to the Patient Portal homepage. They will be able to view their upcoming appointment details, and if all appointments have to be accepted by a Juvonno administrator then a 'pending appointment' tag will show.
6) Link Your Company Website to the Portal
Easily link your Juvonno portal to your clinic's website! Simply copy your Juvonno portals URL and embedding it within the 'book appointment' button on your clinic's website.
To embed the URL to the 'book appointment' button you must have administrative access to the website manager (WordPress, Wix, Squarespace, etc.)

1. Find your Clinics Public Appt Booking URL
Click the Settings tab, and select Clinics under System & Company Settings.
2. Copy the clinic's Public Appt Booking URL
Click Open next to the clinic, Scroll down and copy the Public Appt Booking URL.
If you are accepting online bookings for multiple clinics, you can have the clinic selection default to the appropriate clinic by repeating steps 1 & 2 for each clinic.
3. Embed URL(s) to website button
Now you have all of your clinic’s 'Book Online' buttons ready to be added to your website. Use them to automate your patient booking process! Once you have the URL(s) for your portal, log in to your website builder and create a 'Book Now' button.
These buttons are often found on the (1) header that is on all pages, (2) the footer that is on all pages, (3) the home page, (4) the about us page, (5) or the services page.
Don't overwhelm your patients, but give them adequate places to book an appointment through your website link back to your Juvonno portal.
