Create Treatment Plan Templates
1) Navigate to Settings.
Under the Treatment Plans heading, select Treatment Plans.
Select +New Treatment Plan from the top-right.
2) The General Tab
What do these fields represent?
- Code - Number or Alphabetical shortcode for a treatment plan (3-5 characters)
- Name - Name of the treatment plan (i.e. MIG or OCF-18)
- Description - Use a short paragraph to explain the treatment plan
- Frequency - Number of times per week/month/year
- # of Appointments - Total number of appointments within the treatment plan
- Status - Active or inactive
3) Products & Services Tab
What do these fields represent?
- Items - add the products' and/or services' Item codes you assigned when creating them. Enter the default Quantity. Items can always be removed afterwards when using the template.
- Comments - if necessary, add any additional comments that need to appear.

Note: Products and Services will sort by Item number. Assign the MVA Services and Products with ascending Item numbers to have them appear in order to your preference. |
4) Actions Tab
What do these fields represent?
- Type - To Do's/Calls that should appear during or after the treatment is taken place.
- Summary - Enter in a brief description that will notify the user
- Ad Hoc - Selecting an action as Ad Hoc allows it to be scheduled during the course of the treatment plan, not when you first apply the plan template.
5) HCAI Tab
If you would like to create OCF-18 treatment plan templates in further detail,
use this section to +Add customized autofill to the various parts of the plan.
6) To use created templates, follow the steps below except select the option +Create From A Template and any created templates will display to choose from. The template will assist in populating aspects of the treatment plan, however there will still be other fields required to be entered in.
Create Treatment Plans from Scratch
1) Navigate to the Patient's Profile.
Select the tab Treatment Plans.
2) Select Actions and Create A Blank Treatment Plan

- Practitioners - Select +Add Practitioner to choose from a drop-down list
The assessing practitioner, either a Physiotherapist or Chiropractor should be set as both the default and RHP (Regulated Health Profession) using the radio buttons. - Name - Name of the treatment plan (i.e. MIG or OCF-18)
This title is for the clinic's view only, and will not be seen by the adjuster.
Keep this clear and concise for future reference. - Default - When set to Yes, this treatment plan will be selected by default when creating an appointment for this patient. Only one treatment plan can be set to default at once.
- Clinic - The clinic set as the Patient's Default clinic will display. If required to, choose another clinic in its place, keeping in mind the practitioner selected to treat must be registered within the chosen facility.
- Injury Date - The date of the patient's injury/accident
- Treatment Start Date - The patient's Assessment date
- Treatment End Date - The patient's last day of treatment (estimated)
- Appointments Allowed - Total number of appointments within the treatment plan
- Plan Description - Use a short paragraph to explain the treatment plan, this will not be seen by the adjuster.
- Additional Comments - If necessary, enter any additional comments here that will display within the treatment plan and seen by the adjuster.
- Attachments - If there is a document being sent separately to supplement the plan,
i.e. X-Rays, that will be emailed or faxed to the adjuster, check this option on. - Frequency - The estimated number of treatment occurrences per week/month/year
4) OCF-18 Tab
If submitting an OCF-18 treatment plan, enter applicable details here, otherwise proceed to the following tab, OCF-23.

Note: If there are any special characters entered in the fields (i.e. '&' ) the treatment plan will not submit and will display an error. |
4) OCF-23 Tab
If submitting an OCF-23 treatment plan, enter applicable details here.
Part 10: Guideline Services will auto-populate based on items and amounts added in the Products & Service tab. By default, the maximum fees will display as $1800 and $400.
5) Products & Services Tab
Select +Add an Item and enter the products and/or services by name or item number.
Once entered, click Go.
Proceed to assign a Practitioner (added within the Detail tab) to the item and enter a Quantity.
If applicable, select from the Attribute dropdown to identify remotely and/or virtually delivered services. Choose either IN or SD. Learn more about HCAI's attribute codes here.

Continue adding items until finished.
Find below a sample of an OCF-23's Products & Services being added:
Each item will appear below, within Products & Services HCAI PAF Type Setting.
This section is only required with an OCF-23 treatment plan.
Set each item as Guideline (Services) or Supplementary (Products/Goods).
It is recommended to assign a default PAF type in the product/service settings to avoid having to assign it each time you create a new plan.
Notice the totals with tax will appear on the bottom right and will update after selecting Apply Changes.
6) Actions Tab
This tab will provide an updated list of Scheduled Appointments that are booked using this treatment plan. Below, select New Call, New Todo or Ad Hoc Action if you would like to schedule a reminder call, reminder task or use a premade template as a reminder for a future date, respectively.

7) Insurance Tab
The patient's insurance(s) will display here with the ability to check-on (include) or check-off (not include) them in the treatment plan details.

Note: If the patient has Extended Health Benefits, enable both insurances. The MVA Insurance Company's Order must be set to 1, with the EHB as 2. |
8) HCAI Tab
This tab will update with activity to (Communication) and from (Adjuster's Responses) HCAI.
9) Documents and Forms Tab
Use this tab if you would like to upload and attach documents to the treatment plan.
These documents will not be sent through to HCAI.

Clone a Treatment Plan

Note: The option to clone a treatment plan will only appear if there is an existing treatment plan with a status of approved or denied. |
1) Navigate to the Patient's Profile.
Select the tab Treatment Plans.
2) In the Details tab, under Actions, select Clone.
Submit a Treatment Plan
1) Navigate to the Patient's Profile > Treatment Plans
2) In the Details tab, under Actions, select Development Completed
3) You'll notice new links are available under the Actions heading.
Select either option to submit the appropriate plan to HCAI.
4) A window will then display the submission status:

You are now set to create and submit Treatment Plans to HCAI.
