Schedule Types are set up for filtering and color coding the appointment block for different Practitioner Types such as Massage Therapists, Physiotherapist, and Chiropractors.
Schedule Types are used to color code the appointment block on the schedule.
There are 3 ways you can color code the schedule.
1. Appointment block color based on the schedule type.
Settings, General, System, Scheduling, Appointment Display section, Appointment Color Type, Schedule Type. MOST FREQUENTLY USED BY CLINICS.
2. Appointment block color based on the product & service item.
Settings, General, System, Scheduling, Appointment Display section, Appointment Color Type, Product & Services Schedule Type.
3. Appointment block color based on the Practitioner Profile Color Preference, the is the color the practitioner selected on their profile under the Preferences tab, Scheduling Section, Appointment Color Type, Practitioner Color Preference.
1. BASED ON SCHEDULE TYPE
To select this option go to Settings > General > System > Scheduling >Appointment Display Section > Appointment Color Type - Schedule Type.
Next you will start to create the Schedule Types.
Go to Settings > Schedule Types > New Schedule Type.
At least one Schedule Type item must be created before you can set up Practitioner Availability.
If you have more than one clinic, set up 1 Schedule Type by the Practitioner name to get started.
If you have more than 1 location and a Practitioner works at more than 1 location you will set up 2 Schedule Types as in the example below. This will allow you differentiate what clinic the employee is scheduled to work at.
If you have 1 clinic - John Smith Physio Clinic #1
If you have 2 clinics - John Smith Physio Clinic # and John Smith Physio Clinic #2
We suggest you set up a Schedule Type for each Practitioner Name. This will make it easier for you to assign the Schedule Type to the Product & Services to be booked in the portal.
In addition, you can also set up schedule types based on "Types" of appointments and add those s well to Practitioners.
- Initial Assessment Toronto Clinic (colour blue)
- Follow-Ups Toronto Clinic (colour orange)
- Initial Assessment Mississauga Clinic (colour yellow)
- Follow-Ups Mississauga Clinic (colour purple)
2. BASED ON PRODUCT AND SERVICE TYPE
To select this option go to Settings, General, System, Scheduling, Appointment Display section, Appointment Color Type, Product & Services Schedule Type.
Next you will start to create the Schedule Types.
Create Schedule Types based on how you want to link them to the Product and Service item, to the Practitioner and further to the Patient on line booking Portal.
For Example you want all the Physio appointments to be Blue.
You will create a Schedule Type called Physio and make the color Blue.
Assign the Schedule Type to the Physio Practitioners.
Go to Settings, Products & Services, under the Schedule Types section add the Physio Schedule Type.
When you book an appointment on the schedule for the Practitioners that have this schedule type attached to their profile and linked to that P&S item the appointment block will be blue.
NOTE: If you have more than 1 location and if not all your Chiros or Physios or Massage Therapists don't perform the same services, be cautious when assigning the schedule types to the P&S item as they will also appear in the portal to be booked for those Practitioners.
In type of scenario we suggest you use the Schedule Type option to avoid confusion and changes in the future.
3. BASED ON PRACTITIONER PREFERENCE COLOR
To select this option open the Practitioner profile, Preferences tab. In the Scheduling Section, Appointment Color Type field select Practitioner Color Preference.
Whenever you book an appointment on the schedule for that practitioner the appointment block will appear in that color.
After you have created all the Schedule Types you will assign them to Practitioners.
After Schedule Types have been created you will assign them to the Practitioners.
Go to Settings > Practitioners.
To the left of the practitioner name click the down arrow and select "Schedule Types".
Or, from the Availability tab, edit an existing record by opening the record or select "Add" to create a new record.
In the top right side of the page, you will see a link to "Schedule Types Edit". Click that link to be directed to the Schedule Type page where you can assign the Schedule Types.
Add the Schedule Types that practitioner will be using by selecting a Schedule Type from the left side under "Available".
Click the "Add" button.
The Schedule Type will move to the "Added" section. Select a default Duration. Save.
When you go back to the Practitioner Availability tab, the Schedule Types will appear on the Availability record under the Schedule Types in a list.
When creating the Availability Record you will be selecting Schedule Types from this list.
